When contacted by instructors, remember to reply using their preferred method of communication. Remember, not all faculty access or use their COD email accounts---if they phone, it is best to phone them back and ask if it is appropriate to email information.
Be sure to respond in a timely manner.
In order to schedule a class, acquire the following information from the instructor:

If possible, email a summary of date, location, time and class content to the instructor, or leave a phone message, but ALWAYS personally confirm classes that you will be teaching.
Remember to include the following information in the calendar entries:
If an instructor requests Library Cards for students, send them either an electronic or a paper copy of the Library Card application document linked below. Provide them with the following instructions:
"Attached is a library card application form. Duplicate it and have your students fill them out. Send them back to me along with a copy of your 4010 form (with the students' names, addresses and SS#s). I can then have the circulation services department make the cards for your students and send them back to you via intercampus mail (or give them to you at the class session, whichever you prefer). You can distribute them to the students."
When bringing applications to the circulation services department, remember to include a note to the staff requesting that cards be made for an upcoming ESL (or ABE/GED) class. Specify the date/time that the cards must be finished and indicate where you want the finished cards to be delivered (to your mailbox or sent via intracampus mail to the instructor). You can also ask them to put them on the "hold shelf" at circ. under your name and you can pick them up prior to the class. Hand the forms to a person and verbally clarify that you need the cards made for a class. Usually the circ. staff working the phones will make the cards but during slow times, front desk staff work on them as well. Remember to sign your name so that they know to whom they should return cards.
