Basic Technology Skills Guidelines for Reference and Computing Support Staff

Basic Computing

  • Computer Power up and Shut Down
  • Know what software is available on Library computers, including scanning and priority stations.
  • Know the purpose of each standard program.
  • Locate Programs from taskbar, start menu, and desktop.
  • Open from floppy disk, zip disk, CD-Rom, and USB flash drives.
    • Know how to use the personal laptop hook ups.
    • Format disks using disk utility.
    • Netware Login
    • Loading programs from a CD-Rom.
    • Check disks for viruses.
    • Utilize Bad Copy Pro Software
    • Un-freeze computers
    • Use CD Burner software

Basic Windows

  • Open / Close / Move

Basic Word

  • Open application.
  • Open existing Word or text document from floppy disk, zip disk, CD-Rom, and USB flash drives.
  • Save documents to floppy disk, Zip, CD-Rom and USB Flash drives.
  • Save documents to desktop, hard drive.
  • Name and rename saved documents.
  • Undo and Redo changes.
  • Format font, margins and line spacing
  • Copy, cut and paste from within document.
  • Copy, cut and paste from external documents.
  • Print preview documents.
  • Printing documents to network printers (B&W and color)
    • Using advanced selections on formatting taskbar
    • Using advanced selections from the Edit dropdown menu

Basic Excel

  • Open application.
  • Open existing Excel spreadsheet from floppy disk, zip disk, CD-Rom, and USB flash drives.
  • Save new Excel spreadsheet to floppy disk, zip disk, CD-Rom, and USB flash drives.
  • Save spreadsheet to the desktop, hard drive.
  • Name and rename saved worksheets.
  • Undo and Redo changes.
  • Print preview spreadsheets.
  • Printing spreadsheets to network printers (B&W and color)
    • Insert chart/worksheet into existing spreadsheet.
    • Create graphs and charts.
    • Format fonts, text, cells, rows, columns, and sheet.
    • Cut, copy and paste within worksheets.
    • Cut, copy and paste from external spreadsheet.

Basic PowerPoint

  • Open application.
  • Open existing PowerPoint presentation from floppy disk, zip disk, CD-Rom, and USB flash drives.
  • Save new PowerPoint presentation to floppy disk, zip disk, CD-Rom, and USB flash drives.
  • Save presentation to desktop, hard drive.
  • Undo and redo changes in presentation.
  • Printing slides/presentation to network printers (B&W and color)
    • Insert new slides.
    • Insert clip art/pictures to presentation.
    • Apply design templates.
    • Format fonts, text etc.
    • View slide show.
    • Print preview presentations.
    • Special printing techniques like handouts, slides etc.

Basic Access

 Open application.  Open existing Access database from floppy disk, zip disk, CD-Rom, and USB flash drives.  Save new Access database to floppy disk, zip disk, CD-Rom, and USB flash drives.  Save database to desktop, hard drive.

Basic MS Publisher

 Open existing project from internal or external drives.  Save new MS Publisher project to hard drive or external media. o Basic publication design. o Using picture and object toolbars.

Basic Web Browser

 Open web browser.  Find Search Engines.  Identify URLs and parts.  Enter URL in address box.  Printing to network printers (B&W and color)  Enable/Disable Pop-up blocker  Open free email account for patrons (hotmail, yahoo, etc.)  Increase font size o Print selection and select / copy / paste in Word document to print. o Print frames

Basic Email—Outlook and Web-based for staff

 Local (desk) Outlook login  Web mail login  Compose message.  Attach files.  Send  Reply  Forward  Clean out email account folders.  Access Calendar and print.

Basic Scanning

 Follow the scanning stations direction sheet.  Save scanned graphic/document to the computer.  Save scanned graphic/document to floppy disk, zip disk, CD-Rom, and USB flash drive.  Printing to network printers (B&W and color)

Basic Phone

 Place calls on Hold.  Transfer calls to another line (Conference).  Use Release button  Access voicemail.

Basic Off campus access Troubleshooting

 Which browser?  Does browser accept cookies?  Patron’s Library record up-to-date?  Attempting access via the Library website?  Work (or home) firewall?  Know which Librarian coordinates the Electronic Resources o Know which Librarian coordinates the Electronic Resources.

Basic Printing and CSPS

 Understand how the Print Queue System works.  Select print queue from Print dialog box.  Use copy machines o Load Microfilm on reader, add paper. o Add paper to printer, copy machine. o Clear paper jam from printer, copy machine.
